Zach, great to see you.
Anthony ThomasHOST

I know we're super excited to welcome Jay Hack, head of AI at ClickUp to the podcast.
Anthony ThomasHOST
0:55
Jay, thank you so much for joining us.
Anthony ThomasHOST
0:56
Pleasure to be here.
Anthony ThomasHOST
0:58
Jay, as we get started, I'd love for you to introduce yourself to our audience
Zach HendersonHOST
1:03
and maybe just as a way of background, talk
Anthony ThomasHOST
1:06
to us a little bit about how you got to ClickUp and what you've worked on prior to then.
Anthony ThomasHOST
1:13
And also maybe once you do that, for those few folks who may not know what ClickUp is, a quick intro on ClickUp would be great as well.
Stephanie PipkinHOST
41:21
There is so much.
Stephanie PipkinHOST
41:23
And obviously you guys know my love for ClickUp.
Stephanie PipkinHOST
41:25
This is why we have ClickUp.
Stephanie PipkinHOST
41:27
It is why we have ClickUp is so that we do not miss anything because that is a task management software.
Stephanie PipkinHOST
41:32
And everything I just mentioned, those three areas, employees, clients, and sales leadership, all of that, it like All of those things have stuff you're not supposed to forget related to those.
Stephanie PipkinHOST
41:45
Everything, even as simple as having your employee's driver's license and their car insurance on file.
Jo ShockGUEST
9:28
But yeah, something like Notion, which I know you love, Trello.
Jo ShockGUEST
9:32
I work a lot in front of Airtable and ClickUp.
Jo ShockGUEST
9:35
All of the free versions of those are very good for building a very simple CRM out of.
Emma CosseyHOST
9:40
Yeah, I think it's interesting because I think people often feel like they have to jump in with a big system and they think, well, I may do that.
Jo ShockGUEST
14:43
But I do find more and more that people kind of like the build-your-own type of So again, we mentioned Notion.
Jo ShockGUEST
14:51
Trello Airtable is one that I really like.
Jo ShockGUEST
14:53
ClickUp is a good one if you want something that's a bit like Trello, but kind of more bells and whistles.
Jo ShockGUEST
14:59
So I think almost the simpler your process, the easier it is to have a kind of build your own.
Serena ShoupHOST
0:40
I had probably five clients at this point, so switching workflow software wouldn't have been that big of a deal, but I did have my processes in that workflow system for all five clients, and it was working fine.
Serena ShoupHOST
0:54
But because I was constantly in the Facebook groups with other bookkeepers and seeing everything that everyone was using and seeing all the questions of like, what about this software? What about that software? I got shiny object syndrome and a lot of people were talking about ClickUp at that point.
Serena ShoupHOST
1:12
So I decided to sign up for ClickUp.
Serena ShoupHOST
1:15
I think it was probably a trial version and started playing around with it and quickly realized how much time I was wasting just playing around in a new software when I really didn't need it.
Serena ShoupHOST
1:27
I had a software that had all the features that I needed.
Serena ShoupHOST
1:33
And I spent, I don't even know how many hours just tinkering in that and then switching back and forth between the two because I was still using...
Serena ShoupHOST
1:42
the software I was currently on, which is Asana.
Serena ShoupHOST
1:45
And I was using that for all of my client work But then I was using ClickUp to test it out for all of my internal projects, like the marketing and operational stuff that wasn't bookkeeping related.
Jay HackGUEST

Ultracoding is when the agent programmatically spawns a bunch of sub-agents to go off and complete tasks that can be verified.
Jay HackGUEST
0:12
We have seen versions of that be very successful inside of ClickUp.
Paul Klein IVHOST
0:15
How do you think about
Jay HackGUEST
0:16
models at ClickUp? Step one, you gotta have evals.
Jay HackGUEST
0:18
You gotta figure out, are you performing the task successfully? And that's a huge investment that we've made.
Jay HackGUEST
0:22
We think about the agent stack or the AI stack as a context engine.
Jay HackGUEST
0:26
And typically the thing that holds you back is the sort of siloing of context.
Jay HackGUEST
0:29
Now on ClickUp, we don't have that issue.
Daniella DevineGUEST
45:44
We have AI integration for every single conversation.
Daniella DevineGUEST
45:46
So our AI integration is connected to ClickUp, which is our project management suite.
Daniella DevineGUEST
45:53
So every time somebody gets off a call, tasks are automatically put into ClickUp and tag that person.
Daniella DevineGUEST
45:59
We have transcripts available.
Daniella DevineGUEST
46:00
So we run transcripts through Claude and we have a skill that essentially disseminates, not disseminates, rather, breaks down our sales conversations and make suggestions on, hey, you know, tweak this, tweak that, all of that.
Daniella DevineGUEST
46:46
Where's our trunch? Where are we at? Are we positive this much? Are we negative this much? Can we make payroll this week? Do we need to move money? Every day I get financial reports.
Daniella DevineGUEST
46:56
All of it's automated.
Daniella DevineGUEST
47:00
we have an AI note taker like most people do now, but we connected our AI note taker with ClickUp.
AnnabelleGUEST
34:23
And so we have a couple things that we utilize.
AnnabelleGUEST
34:26
One is I created our own custom version of ClickUp because ClickUp was not built for what I needed.
AnnabelleGUEST
34:34
We do a lot of in-house agency work.
AnnabelleGUEST
34:36
And so... too many different tasks.
AnnabelleGUEST
34:39
Every client has like 15 different subtasks.
AnnabelleGUEST
34:41
So I built something completely custom from scratch.
AnnabelleGUEST
34:45
And so essentially the best way I would describe it is it's a mix of ClickUp and Toggle.
AnnabelleGUEST
34:50
And it's like ClickUp and Toggle had a baby and birthed our dashboard and it communicates with slack it sends projects in slack it sends overdue projects in slack it and you know when we post in slack it picks up the projects and adds it to the project dashboard so it's very automated and that's how we run the business In terms of scaling and keeping track of AI, I have a person on my team whose only job is to constantly be in product development, to constantly be researching what's possible, what's next, what's going to make the business better, what's going to make our clients' businesses better.
Freddy RodeGUEST
6:09
New hook shots.
Freddy RodeGUEST
6:10
Um, you analyze the creatives basically the same way like they were using ClickUp I'm like a lot of the other brands I'm working with they use like ClickUp, Notion, Asana so like the ticketing like how you how you brief stuff in how you give stuff to the editors like it's it's very similar so I would probably say just like the brand guidelines you know you obviously have to be stricter with those they have more possibilities but And then probably more launches and like different product categories.
Freddy RodeGUEST
6:37
But except the creative strategy side of things is very, very similar, to be honest.
Andrej TumachowitschHOST
6:43
Interesting.

28 MINS LATER

Freddy RodeGUEST
34:37
Maybe I'm doing something wrong, but it can't lose a good script for me.
Freddy RodeGUEST
34:40
So, like, I get the core idea, then I'll, like, do the changes.
Freddy RodeGUEST
34:44
But apart from that, I feel like even it's connected to my ClickUp, so I know it informs me, like, hey, when I have to review a task or whatever, right? It briefs me in the morning, so I feel like in terms of my creative strategy work and also finds me patterns of like what's working what's not working and like hey like 58% of Stan goes to this opener which is a split screen I know this is a winning opener so let's do more um split screen openers for example for a new angle um and yeah i still do obviously stuff manual but like a lot of the stuff also just it just elevates my work basically i can work faster i can work better um apart from script writing it's not quite there yet
Andrej TumachowitschHOST
35:30
yeah yeah like for for brands doing a few hundred k a month um what do you think what's the first thing they should automate related to their creative creative process
Craig LawrenceGUEST
9:39
So a couple of mates who run psychology practices came to me and said, look, if you have the capacity, I would love you to help out and see what you can do.
Craig LawrenceGUEST
9:49
Also build out the systems and processes that I'm looking to use, like ClickUp is one of my go-to tools now.
Craig LawrenceGUEST
9:55
And the way it can do things compared to where it was a few years ago is just amazing.
Tristan WrightHOST
9:59
And just learning about APRA
Craig LawrenceGUEST
14:07
Especially speed to market as well.
Craig LawrenceGUEST
14:09
That I find is probably one of the biggest wins at the moment.
Craig LawrenceGUEST
14:12
Instead of following something through whatever project management tool might've been in place before, something like ClickUp at the moment is just, it blows my mind where you can go, all right, I've got this SEO task in ClickUp, the super agents set up correctly.
Craig LawrenceGUEST
14:28
The super agent just goes off and depending if you've got the automation set up properly, once you've hit that enter button for the task, it picks up the task, goes and does the task, comes back with your answer, the response.
Jax ScottHOST
10:46
I don't know if they have up click in here.
Erika McDuffieHOST
10:49
ClickUp, UpClip? I
Jax ScottHOST
10:50
don't know.
Jax ScottHOST
10:52
Lumen, Defense.
